Scapia Partner extranet, redesigning how hotels run promotions

Scapia · Partner extranet · Internship 2026

The Scapia Stays extranet, Promotions page: active promotions with their estimated payout
The Scapia Partner website: “List your property on India's most rewarding travel ecosystem”

Intro

Hotel partners needed to run promotions without flying blind and a reason to join Scapia extranet in the first place. In a two-month internship, I designed for both.

Scapia Stays is Scapia’s new extranet, where partner hotels manage bookings, payments, rates and promotions. I worked on two projects. The first was the Promotions module, where partners see what’s running, whether it’s working and what it will pay out I studied competitor extranets and built the information architecture and personas behind the version that shipped. The second was the Scapia Partner website, which markets the extranet to hotels and brings them on board.

Projected Impact

The Promotions module gave hoteliers visibility into the money they could earn, how their promotions were performing, and how promotions affected their hotel’s visibility.

Discovery

There was no Scapia extranet yet, so I studied how Booking.com, MakeMyTrip handles extranet promotions and mapped who would use ours

KEY INSIGHT 01 · BOOKING.COM · CHOOSE NEW PROMOTION

Choosing a promotion

Deals are named by mechanics, not goals, so hosts can’t tell which deal fits what they want.

“Top of search results” is promised, but there’s no view of how a deal moves ranking.

Basic, Last-minute and Early booker look near-identical, and similar options add cognitive load.

One “Add promotion” at a time, with no way to compare deals or stack several quickly.

“Hotels mainly use extranets for promotions and want clarity on what happened, why it happened, and what to do next.”

Seven personas - revenue managers, owners, chain POCs, ops, finance, BD and premium properties.

PERSONA 01 · REVENUE MANAGER

Ananya Rao

“I’ll run a deal, once I know what it does to my margin.”

DEMOGRAPHIC

  • Works for : Hotel chain / group of properties
  • Role : Revenue Manager
  • Location : Metro or tier-1 city

PSYCHOGRAPHIC

  • Personality : Data-driven and commercially focused. Cautious about margin loss; trusts analytics only when the logic is clear.

TECHNOGRAPHIC

  • Tools : Laptop for deep work, mobile for quick checks. Booking.com, MMT, STAAH and channel managers.

What’s the final price? What’s left as margin?

Insight 01

Revenue managers don’t distrust promotions. They distrust what they can’t see. When final price and margin are hidden, the safest move is to switch the deal off.

Information architecture

Hotels mainly open an extranet to run promotions. They want to know what happened, why, and what to do next.

Turning research into a more actionable promotions experience

Contextual enquiry revealed 11 key jobs-to-be-done, which informed the information architecture and product decisions around promotion creation, performance, and management.

From Contextual Enquiry to Product Improvements

Based on contextual enquiry findings, I identified key gaps in the existing Promotions experience and translated them into actionable product improvements. The orange elements highlight the features and insights I introduced, while the grey elements show the existing product structure.

Ideation sketches and Jakob Nielsen’s usability heuristics testing

Early concepts were shaped around the needs of seven stakeholder personas, then evaluated through Nielsen’s usability heuristics and SUS testing. The findings helped identify usability gaps, validate key workflows, and guide the next iteration of the Promotions experience.

Solution

I kept my concept, rebuilt it in Scapia’s design system, and added four things extranet promotion were missing

The performance dashboard, the 5-step wizard and state-based actions stayed as I designed them. I rebuilt them on the senior designer’s tabs, filters, modals, drawers and icons, then added health status, payout after promotion, festival alerts and blackout dates where partners make decisions.

Health status on every promotion

Every live promotion carries a Healthy, Watch or At-risk badge with its margin, so risk shows up in the list, not weeks later in a report.

Promotions list with a Health column: Healthy, Healthy and Watch badges with their margins

Tracking promotion health over time

Holidays and local events that fall in the chosen dates are flagged, so partners can black out peak days and keep them at full price.

  • Promotions page with a performance strip, filters and a table with Health and Expiring columns
  • Health badges up close: Healthy with margin 28%, 24% and 23%, Watch with margin 16%, At risk with margin 9%

Making hotelier payouts and guest prices transparent

Estimated payout after the promotion, per rate plan, and what the guest sees when Scapia offers stack.

  • Create promotion, discount step: percentage discount, estimated impact per booking and the payout table
  • Promotion summary: draft status, percentage discount, two rate plans, 20% discount, estimated payout ₹4,800, hotel-funded

Festivals and local celebrations, flagged in the calendar

Holidays and local events that fall in the chosen dates are flagged, so partners can black out peak days and keep them at full price.

Choose stay dates: May 2026 calendar with the promotion runs, an excluded weekday, a blackout date and festival or local-event markers, and weekday toggles

One review before anything goes live

The review brings together payout, blackout dates and festivals in range, so partners publish with confidence.

Reflection

I learned to design inside a system and to separate what shipped from what I’d push for next

Working beside a senior designer’s shipped version showed me how much good structure matters. My research showed partners also needed answers about money and performance, so my concept keeps that structure and adds those layers instead of replacing it. Next time I’d validate the predicted-impact numbers with real partner data before designing around them.
